Writing a person specification and job description
Roles can only be filled successfully if the job has been accurately defined. You need to have a clear indication of the type of projects the individual will be involved with and the level of repsonsiblity. Definitions of project management roles can be found here.
Developing a job description
A job description is not a legal requirement but it is invaluable in assessing the full scope of work, in identifying what the ideal candidate would have in terms of experience and specific skills. It should be noted that the job description is your tool to attract the right candidates.
A job specification / description should include:
- Job Title [i.e. Project Manager, Programme Manager, Project Coordinator, Project Planner]
- Job location / outline of any travel requirements
- Brief Synopsis of the role / background
- Role manager; who the candidate would report to and details of any employees that would report to the successful candidate
- Summary of the role and objectives [i.e. to deliver on time and to budget a new Global SAP implementation]
- A list of the main accountabilities / deliverables [i.e. to complete requirements gathering, to build a project team, to help select off-shore developers]
A person specification
Again a person specification is not a legal requirement but will be valuable when developing a job advertisement and identifying the attributes you require in a candidate.
Include in this section the experience and skills the ideal candidate would possess, ensure to list the essential requirements for the role from those that would be desirable. It's essential not to discriminate.
A typical list of requirement for a Project Management role could be:
Essential Requirements
- PRINCE2 Practiotioner
- Experience in full end to end lifecycle project delivery
- Experience in managing multi-disciplinary teams
- Experience in large scale ERP software implementations and software development
- Experience in Earned Value Analysis [EVA]
Deriable Reqirements
- Experience in Global SAP implementation, particulary in the following modules FI, AM, PS
- Experience in managing off-shore developers
- An understanding on CMMI
